Article 1. Available to:

Individuals or Legal Entities, Private and State - controlled Enterprises, Public Utilities, Cultural Foundations, Scientific Institutions, Organisations, Chambers of Commerce and Industry, Unions, Associations, Cultural Groups, or individuals according to the judgement of the Managing Committee of the Conference and Cultural Centre (henceforth C.C.C.). The University may carry out in the premises of the C.C.C. and after notification of its Managing Committee: Anniversaries, Receptions of important persons, Graduation ceremonies, Ceremonies for award of Honorary degrees, as well as any other ceremony according to the Rector's judgement.

Article 2. How it becomes available:
  • By submitting a signed APPLICATION form asking for the use of the Conference and Cultural Centre.
  • The request for making the C.C.C. available shall be granted or rejected according to the terms and conditions of the present Regulations.
  • A request submitted by a debtor is considered only after the debt has been paid.
  • A request, which includes terms or limitations, shall not be acceptable.
  • Rejection of the request for any reason whatsoever shall not give rise to any demand against the University's C.C.C.

Article 3. Availability impediments:
  • When the University needs the C.C.C. for its own use.
  • When the C.C.C. has become available to an earlier applicant.
  • Whenever the subject of the event is contrary to the public interest or may cause agitation.
  • When the requesting party has, in the past, violated any of the terms of the present Regulations or has breached any signed with the University.

Article 4. Signing the request:
  • After the request has been approved, the interested party shall be asked to sign the relevant CONTRACT form within a period of seven (7) days and, at the same time pay the deposit and the guarantee.
  • If the above deadline expires, it is inferred that the request is revoked.

Article 5. Revocation of request:
  • Revocation shall be effected by a written declaration.
  • If the revocation is received by the University before the CONTRACT form is signed, the interested party shall not be financially penalised, however if it is received after it has been signed, the deposit amount is withheld in full.
  • If cancellation is due to force majeure, as provided by the law, the C.C.C. shall have the right to impose payment by the interested party of the amount agreed in full or in part only.

Article 6. Financial terms:

The license fees for using the C.C.C. are stated in the Regulations of Operation.

Article 7. Method of payment:
The method of payment depends on the mode of agreement for the use of the premises:
  • a) If the simple use of one or more of the Congress's rooms and facilities is requested:
    • 30% of the University's charges shall be paid at the time the CONTRACT form is signed. The rest of the amount of money should be paid one (1) day before the premises are given for use.

  • b) If the University undertakes the organisation of the Congress:
    • 10% of the total charges shall be paid at the time the CONTRACT form is signed.
    • 40% of the agreed amount shall be paid one (1) month before the commencement of the Congress and the remaining 50% of the amount on the day the spaces are made available. It should be stated that the above provisions refer only to the compensation payment for the use of the C.C.C.'s facilities. The amount of money required for any additional service (e.g. printing of forms, programmes etc.) should be paid within five (5) days after the notification of the interested party.

    • c) 40% of the agreed amount shall be paid one (1) month before the commencement of the Congress and the remaining 50% of the amount on the day the spaces are made available. It should be stated that the above provisions refer only to the compensation payment for the use of the C.C.C.'s facilities. The amount of money required for any additional service (e.g. printing of forms, programmes etc.) should be paid within five (5) days after the notification of the interested party.

    Article 8. Guarantee:
    • With the signing of the CONTRACT form, a letter from a bank should be deposited to the University guaranteeing an amount equal to the total charges for the use of the facilities requested.
    • Government agencies and public entities may be relieved of this obligation by decision approved by the C.C.C.'s Managing Committee.
    • The letter of guarantee shall be returned after the end of the Congress or other event, provided all outstanding matters in relation to the C.C.C. have been taken care of.

    Article 9. Effecting and taling delivery of facilities and equipment:
    • It is done by signing a protocol by which the interested party shall assume full responsibility for safeguarding the property of the C.C.C. which has been made available and shall be fully liable for any loss or damage thereto.
    • Immediately after the end of the Congress or event, the facilities and equipment shall be given back to the C.C.C. with the signing of a protocol in which any loss or damage shall be recorded and evaluated by the Technical Directorate of the University. Objects and any kind of material which will have been brought into C.C.C.'s areas by the organiser of the Congress or other event may be kept by the C.C.C., if the amount due by the organiser has not been paid in full.

    Article 10. Circulation of individuals - Movement of objects:
    • It shall be allowed only after the C.C.C. facilities have been hired with the full responsibility of the recipient.
    • Objects may be brought inside by using an "Entry Declaration" or "Consignment Note" issued in duplicate and stamped at the time of entry. Their removal shall be effected by using one of the copies that shall be delivered to the interested party.

    Article 11. Limitations - Prohibitions - Responsibilities:
    • The C.C.C. maintains the right to check, at any time, the observance of what has been agreed.
    • It is forbidden:
      • a) to take up or use space that has not been made available,
      • b) to change the arrangement of space,
      • c) to use facilities for purposes other than those mentioned in the APPLICATION form,
      • d) to paste posters or self-adhesive material or hang or fix objects with nails in any place whatsoever,
      • e) to place advertisement material,
      • f) to sublet (in whole or in part) space made available or provide it free of charge to third parties.
    • The C.C.C. users shall be exclusively responsible for any accident that may be caused during their event in the facilities granted to them.
    • The C.C.C. shall not bear any responsibility and, in case it may be considered liable to a third party, users shall be obliged to restitute any damage to it (material or moral) caused in this way.
    • The users of the C.C.C. are exclusively responsible for any accident, which may possibly be caused during their events in the areas granted. The C.C.C. shall not be responsible for real defects or shortcomings of space given for use nor for any loss or damage to material brought into the facilities where the Congress or event is held.
    • For restitution of loss or damage to the C.C.C. property, the guarantee shall be forfeited in part or even in full without excluding the possibility of the C.C.C. seeking further indemnity.
    • Penalties shall be imposed by the Managing Committee of the C.C.C. to those having violated any prohibitions or terms and conditions of the present Regulations. These penalties shall be collected from the guarantee and the right of continuing the Congress or other event shall be withdrawn without any responsibility on the part of the C.C.C. for any damage caused to them as a result of this interruption.
    • Unpaid financial or other debts to the C.C.C. shall carry a 2% interest per month from the date of issue of the relevant invoice.

    Article 12. Final provisions:
    • The C.C.C. reserves the right to make amendments or additions to the regulation notifying at the same time the interested parties to this effect. Changes shall be binding if communicated promptly.
    • Signing the CONTRACT form means unconditional acceptance of the Regulations without any reservations by the interested party which shall be obliged to faithfully enforce the provisions included therein as well as the instructions by the Managing Committee of the C.C.C.
    • Matters on which there is no provision in the Regulations or the CONTRACT shall be resolved by the C.C.C. Managing Committee.
    • Violation of any term of the present regulations implies revocation by the C.C.C.'s Managing Committee of the disposal of the space and the forfeiture of a deposit.
    • Any disputes between the C.C.C. and any third party shall be within the exclusive jurisdiction of the Courts of Patras.
